Field notes / Keep this with your project

From first brief
to final files.

A practical design checklist for agencies, utilities and nonprofits. Print this page using your browser's Print command, or copy the checklist into your project notes.

Before design starts

  • Name the audience and one primary action.
  • Gather approved copy, source links and current local facts.
  • Provide authorized logos, brand rules and image permissions.
  • List every size, side, format, channel and language version.
  • Identify accessibility needs and how acceptance will be checked.
  • Confirm budget, purchasing route, revisions and delivery milestones.
  • Name the person who consolidates feedback and the final approver.

When reviewing the proof

  • Check names, dates, times, addresses and contact details character by character.
  • Open every URL and test any QR code on the final proof.
  • Read the piece at its actual size, including small print.
  • Check reading order, headings, contrast and image descriptions.
  • Fold a paper dummy if the piece will fold.
  • Confirm that facts match the current approved source.
  • Send one consolidated set of comments tied to a version.

Before publication or printing

  • Record approval of the exact final version.
  • Confirm dimensions, bleed, folds and color requirements with the printer.
  • Check accessible and language versions alongside the primary version.
  • Receive the editable files and exports listed in the agreed scope.
  • Label final files clearly and separate them from old drafts.
  • Record the distribution plan, owner and review or retirement date.
